Proton Calendar notifications — overview and default settings

Proton Calendar can send you reminders (notifications) to alert you about upcoming events. There are two kinds of notifications:

You can add notifications to Proton Calendar events in two ways:

  • Add default notifications — Notifications that will be automatically added to all events you create in a particular calendar.
  • Add event-specific notifications — Notifications for a specific event.

Default notifications in Proton Calendar

You can set notifications that will be automatically added to all events in a certain calendar.

To add default notifications when you create a calendar:

  1. In the Proton Calendar web app, click the plus sign (+) next to My calendars in the left sidebar.
  2. Select Create calendar (or go to My calendars in Proton Calendar Settings and click the Create calendar button).

  1. Set the notifications you want to add to events in this calendar by default. These can be either event notifications (for events at a specific time of day) or all-day event notifications (for events lasting all day). From the dropdown menus, select:
  • notification for desktop browser notifications or mobile notifications, and/or
  • email for notifications sent by email

  1. Click Save when you’re done.

You can add up to five default event notifications and up to five default all-day event notifications.

Edit default notifications in Proton Calendar

You can edit default notifications anytime and those edits will apply to all calendar events, including past ones.

To edit default notifications:

  1. Click the horizontal three dots next to the calendar you want to edit and select Edit. (Or go to Settings → All settings → Calendars and select the calendar you want to edit.)

  1. Add, delete, or edit the default event notifications (for events at a specific time of day) or all-day event notifications (for events lasting all day) as you wish. You can add up to five default event notifications and up to five default all-day event notifications.

  1. Click Save when you’re done.

Event-specific notifications in Proton Calendar

You can add notifications for a specific event in Proton Calendar when you create the event or anytime later.

To add an event-specific notification when you create an event on the Proton Calendar web app:

  1. In the Proton Calendar web app, click the New event button at the top left.

Or you can create an event by clicking on a day in the calendar (in Day, Week, or Month views). 

  1. Click More options to see the notification options.

  1. Add the event title, date, time, etc. You can add a new notification by clicking Add notification and using the dropdown menus, or edit or delete the default notifications (see below). Select:
  • notification for desktop browser notifications or mobile notifications, and/or
  • email for notifications sent by email

You can add up to 10 notifications to each event, which can be any combination of push (desktop/mobile) notifications or email notifications.

  1. Click Save when you’re done.
  2. If you move an event to another calendar by selecting the calendar dropdown (see below), any event-specific notifications will be replaced by the default notification(s).

Edit event-specific notifications in Proton Calendar 

You can edit an event notification in Proton Calendar anytime. To do so:

  1. Click on the event and click the pencil edit icon.

  1. Add, remove, or edit notifications as you wish. You can add up to 10 notifications to each event by clicking Add notification and using the dropdown menus. Select:
  • notification for desktop browser notifications or mobile notifications, and/or
  • email for notifications sent by email

How notifications behave in different types of calendar events

Notifications for shared calendar events you’re invited to

When you receive and accept an invitation to an event in Proton Calendar, the event is added to your default calendar. The event will have the default notification(s) that you set for that calendar. You can edit event-specific notifications anytime.

Any notifications on events you’re invited to remain private to you. For example, the notifications below are only for you.

Event participant notifications

Note that you can only edit a shared calendar event on the web and Android apps. You can’t currently edit a shared calendar event on Proton Calendar for iPhone or iPad (iOS/iPadOS).

Similarly, any notifications you add to events you’ve organized with invited participants remain private to you. For example, the notifications below are only for you.

Event organizer notifications

The event in the participants’ calendars will have their own calendar’s default notifications or any notifications they’ve added manually.

Likewise, if you share a calendar with other Proton users, any notifications you add remain private to you. The person you share the calendar with has their own notifications.

Notifications for external calendars

You can add default calendar notifications to external calendars you’ve subscribed to via a URL. The default notifications you add will be applied to all events in the calendar.

You can’t add event-specific notifications to external calendars you’ve subscribed to via a URL.

To add default notifications to an external calendar:

  1. In Proton Calendar, click the horizontal three dots next to the calendar you want to edit and select Edit

  1. Click Save when you’re done.

You can add up to five default event notifications and up to five default all-day event notifications.
