How to add Zoom meetings to event invitations

Streamline your workflow by adding Zoom links to events on Proton Calendar. Event participants can then easily click the link in their invite to join the video call. This feature currently supports Zoom, but moving forward, we’ll add support for other video conferencing services.

To add Zoom meetings to event invitations, you must have a Zoom account and one of the following plans:

  • Proton Mail Plus (or any other paid Proton Mail plan)
  • Proton Duo or Proton Family
  • Mail Essentials, Mail Professional, Visionary, or Proton Business Suite

In this article, we’ll look at:

1. Create an event in Proton Calendar (you can also modify an existing event to add a Zoom link).

2. Under the Add location field, select Add Zoom meeting. If you’re not signed in to your Zoom account, you’ll be asked to sign in.

If you belong to an organization, you might first need to send a pre-approval request(new window) to your administrator. Once they’ve approved the request to connect your Proton Calendar to Zoom, you’ll be able to add Zoom meetings as described above.

3. A Zoom meeting will then be created, scheduled for the time of the event. Every participant invited to the event will be able to join the Zoom call directly from their invitation. You can also use the Copy button to manually share the meeting URL outside of Proton Calendar.

4. Your Zoom meeting details are now visible in the event details at all times, and will be added to invitation emails for participants. You can also view Zoom meeting details and join meetings from our mobile apps. Note that, for now, adding new Zoom links is not possible using our mobile apps. 

How to join a Zoom video call you’ve been invited to

When you receive an invite to an event with a Zoom meeting, you’ll see a Join Zoom meeting button, together with details about the meeting (including the passcode). Simply click or tap on the button to open the Zoom app on your device or in your browser and join the call. 

If this doesn’t work for some reason (for example, if you don’t have the Zoom app installed, or your browser doesn’t have the necessary permissions to open an external app), you can manually copy and paste the link into your browser or the Zoom app.

How to turn off video conferencing 

Video conferencing with Zoom is turned on by default for everyone with an eligible account. If you don’t want this, you can turn the feature off at any time. 

To do this if you have a personal Proton Mail account, sign in to calendar.proton.me(new window) using your Proton username and password and go to Settings ⚙All settingsProton CalendarGeneral Integrations and toggle the Video conferencing with Zoom switch off.

If you are an administrator for a Proton for Business, Duo, Family, or Visionary account, and you wish to deactivate the setting, sign in to calendar.proton.me(new window) with your Proton account username and password, go to Settings ⚙All settingsOrganizationVideo conferencing and toggle the Enable video conferencing switch off. This will disable the Zoom integration for all users.

How to disconnect Proton Calendar from Zoom

If you’re an administrator of an organization account, you can also disconnect the Proton Calendar app from your Zoom account. This will revoke Proton Calendar’s access to your Zoom account, and no further data will be shared with Zoom.

To disconnect your Zoom account:

1. Sign to your Zoom account at marketplace.zoom.us(new window) and go to ManageAdded apps.

2. Find Proton Calendar and select Remove.

3. In the pop-up window, select Remove.
